Sales follow-up examples for email and WhatsApp

Three short follow-ups for requested information, proposals and a final check-in, with guidance on timing and when to stop.

By Circlebase · Published

After a request for information

Example: “Hi Sarah, here is the schedule you asked for. The evening session starts at 6 pm. Would you like the outline, or is timing your main question?” Replace every detail with the facts of your offer. This message answers the request and asks one useful question. Agree on the next contact date when possible instead of enrolling every enquiry in the same repeated messages.

After sending a proposal

Example: “Hi Sarah, following up on the proposal we discussed Tuesday. Is the scope clear, or would a short call help with the two options?” Mention the actual discussion, not an invented deadline. In Circlebase, record the proposal stage and a dated task. If the follow-up is automated, test the message, delay and stop conditions on your own contact first.

A final check-in, then stop

Example: “Would you like me to keep this open, or pause the follow-up for now?” Respect the answer and any opt-out. A reply stops Circlebase sequences; a person should then take over. Outside WhatsApp’s customer service window, free-form examples like these are not automatically sendable: use the appropriate approved template and follow Meta’s rules. A sale or payment is not a substitute for checking and ending remaining follow-ups.
